Will my patients have to learn a new number?
No. Grace works on your clinic's existing WhatsApp number, so your patients message you exactly as they do today.
FAQ
No. Grace works on your clinic's existing WhatsApp number, so your patients message you exactly as they do today.
Usually within a week. Teaching Grace your treatments, hours and prices takes an afternoon. We set everything up for you. The one step we don't control is WhatsApp approving the connection to your number, which is why we can't promise a day.
Your registered business name, address and phone number. These appear on the privacy notice your patients see, so we cannot go live without them. Then your treatments and prices, your opening hours and who works with you. That is all.
No. We do not replace your clinic system, your calendar or your records. If you use Google Calendar, Grace reads and writes it in both directions. Everything else stays where it is.
No. A chatbot answers with a menu. Grace reads what your patient wrote and completes the thing they asked for: it checks your real availability, quotes your real prices, takes the booking and puts it in your calendar. The conversation ends with an appointment, not with a form.
They are answered. In their own language, within seconds, with your real availability. The appointment is booked before the conversation ends.
English. Grace speaks English with your patients.
It books, moves and cancels appointments on its own, because that is the job. What it will not do without you is anything it cannot take back, or anything clinical. A cancellation it was not asked for, a price change, a message it is unsure of: you get one message and you decide.
No. Grace is a concierge, not a clinician. She does not diagnose, does not recommend treatment and does not say whether something will suit a particular patient. Those questions are for you and your practitioner, not for her.
That is recognised before any reply is written. Difficulty breathing, bleeding that will not stop, a swelling throat, anything about self-harm. The conversation stops being managed, the patient gets the emergency route and your team is alerted at once, by WhatsApp or by text message if WhatsApp cannot reach them.
Grace also knows the emergencies of aesthetics: skin going white or cold after a filler is treated as what it may be.
No. Guarantees, outcomes, durations and "you will love it" are refused outright. If a reply drifts toward one, it is replaced before it is sent.
Yes. Tell it you are away and it holds the clinic until you return.
Your clinic remains the data controller. NOVEQ LTD, registered in England and Wales, acts as your processor under a written agreement.
Your clinic's data is stored within the European Economic Area. The AI processing itself is carried out by our provider in the United States under standard contractual clauses. Message content is kept for 90 days and then deleted. Appointment records are kept as long as your record-keeping obligations require.
In her first message to a new patient, Grace includes a link to your clinic's privacy notice, in your clinic's name, explaining what is stored and for how long.
Yes, at any time and on termination. Ask and we export it.
Tell us and it is corrected. Grace also learns your answers to the questions you keep answering, as you give them. You do not open a panel to change anything.
No. Everything day to day happens in WhatsApp. Connecting your Google Calendar is the one thing that needs a browser, once.
Yes. Several practitioners share the clinic's diary, and Grace knows whose patient is whose, who is in on which day and who does which treatment.
Get in touch and we will talk it through. The figure depends on which plan you need and how your clinic works. There is no charge per message and no commission on bookings. No long-term contract. Plans run month to month, and you can cancel with 30 days' notice.
Thirty days' notice, either way. Your data is exported to you and then deleted, and your number stays yours.
Aiplies is a product of NOVEQ LTD, a technology company registered in England and Wales. Grace is built for aesthetics clinics and independent practitioners, for one field rather than adapted to it.
Because an aesthetics clinic has its own conversations, its own risks and its own rules. The parts a patient never sees are what matter most: what Grace refuses to say, what she treats as urgent and what she carries to you rather than answering. Those are built for one field, not adapted to it.
